Position Summary
This position will be responsible for all aspects of Global Headquarters Facility Management oversight. This position will also assist in management and oversight pertaining to all aspects of a global portfolio of commercially owned and leased properties, including global site initiatives, with guidance from the Global Real Estate Manager.
*Global Real Estate Accountabilities*
Process monthly rent transmission for all North America/Canada sites
Provide direct oversight of Lease Administration process in Harbor Flex system
Provide coordination/oversight for the planning and execution of tenant improvement projects at North American sites and report to Global Real Estate Manager weekly on progress
Prepare PowerPoint presentations for ENR approval of all tenant improvement projects that exceed a $100K spend; provide coordination of legal contract review
Enter all approved tenant improvement spends into ENR Spend Management tool; coordinate payments
Assist Global Real Estate Manager with new leases and lease renewals with landlords or brokerage teams as needed
Finalize template protocol with global brokerage and global project management teams
Process COI (certificate of insurance) requests for all landlords/vendors
*St. Louis Facilities and Management Accountabilities*
Manage all aspects of the HQ (St. Louis) facility-related needs
Manage all special facility/building related projects & improvements for St. Louis office
Manage all facilities related contracts (including facilities/mailroom, security, etc.) and assess contracts to manage the annual facilities budget. Track facilities-related cost savings, and manage purchase orders.
Maintain accurate floor plans and facilities SharePoint sites
Coordinate all office space relocations, including address book updates
Handle all aspects of the furniture and fixture management
Implement and execute safety plan to be exercised annually. Work with Security to prepare incident reports, as needed
Work with all facilities vendors to ensure compliance with contracts & handle day-to-day needs. Implement preventative maintenance service contracts for facilities related equipment management
Maintain relationship with landlord's agent to ensure building maintenance is being completed in timely manner (i.e. restrooms, common areas, exterior, landscaping, etc.)
Create a schedule and execute regular evaluations for the facilities (monthly janitorial inspections, quarterly reviews with security and facilities/mailroom)
Provide oversight to the ENR office supply policies and procedures
Required Skills and Experience
Minimum of four to six years of related experience and/or training
Preferred Skills and Experience
Bachelor's Degree preferred but not mandatory
Experience with commercial facilities, construction and property management, and lease management
Experience with SharePoint, ReadSoft/MIGO/SRM
Working Relationships & Environment

Will report directly to Global Real Estate Manager in the Real Estate/Legal Department
Will regularly partner with Procurement, IT, Leadership and Operations

Position will be staffed at the Global Headquarters located at 533 Maryville University Drive in St. Louis, Missouri.
